Privacy Policy
This Privacy Policy explains how ApplyAI (“we”, “us”, or “our”) collects, uses, and shares information when you use the ApplyAI mobile application (the “App”), package name com.applyai.app.
1. Who we are
ApplyAI is a job-search and career assistant app that helps users upload resumes, build profiles, discover matching jobs, generate cover letters and outreach messages, and track applications.

2. Information we collect
Depending on how you use the App, we may collect:
- Account information: email address, display name, and authentication identifiers when you sign up with email/password or Google Sign-In.
- Profile information: phone number, skills, work experience, education, certifications, projects, languages, preferred location, expected salary, work authorization, professional summary, LinkedIn URL, and related career details you provide or that are generated from your resume.
- Resume content: resume files you select in the App. Resume files are primarily stored on your device. Content may be temporarily transmitted to our servers for AI parsing and profile generation.
- Job and application data: saved jobs, application status, match scores, notes, cover letters, outreach emails, and related activity in the App.
- Usage and diagnostics: app events, screen views, crash reports, and device/app diagnostics via Firebase Analytics and Firebase Crashlytics (which may include user ID and basic account attributes such as email/name for crash context).
- Technical information: standard server logs and identifiers needed to operate authentication, cloud functions, and security.
3. How we use information
- Create and manage your account
- Parse resumes and populate or improve your profile
- Search and match jobs to your profile
- Generate cover letters, outreach emails, and social posts you request
- Send outreach emails you choose to send (using your reply-to address where applicable)
- Track applications and saved jobs
- Improve reliability, security, and performance of the App
- Comply with legal obligations and enforce our terms
4. How we share information
We do not sell your personal information. We share information with service providers only as needed to operate the App:
- Google Firebase — authentication, database, cloud functions, analytics, and crash reporting
- Google Sign-In — if you choose to sign in with Google
- OpenAI — AI processing for resume parsing, cover letters, emails, and related generation features
- Job listing providers (for example, JSearch via RapidAPI) — to retrieve job listings
- SendGrid — to deliver outreach emails you explicitly request to send
We may also disclose information if required by law, to protect rights and safety, or in connection with a business transfer.
5. Data retention
We retain account, profile, application, and related data while your account remains active and for a reasonable period afterward as needed for legitimate business, security, and legal purposes. You may request deletion of your account and associated personal data by contacting us.
Resume files kept on your device remain under your control and can be removed by clearing app data or uninstalling the App.
6. Security
We use industry-standard safeguards provided by our cloud providers (including encrypted transport and access-controlled backends). No method of transmission or storage is 100% secure, and we cannot guarantee absolute security.
7. Children’s privacy
The App is not directed to children under 13 (or the minimum age required in your jurisdiction). We do not knowingly collect personal information from children. If you believe a child has provided personal information, contact us and we will take appropriate steps to delete it.
8. Your choices and rights
- Access or update profile information in the App
- Disconnect Google Sign-In through your Google account settings
- Request account deletion via this account deletion page or by emailing privacy@applyai.app
- Stop using the App and/or uninstall it at any time
Depending on your location, you may have additional rights under applicable privacy laws (such as access, correction, deletion, or restriction). Contact us to exercise those rights.
9. International processing
Your information may be processed on servers located in different countries (including where our service providers operate). By using the App, you understand that your information may be transferred to and processed in those locations.
10. Changes to this policy
We may update this Privacy Policy from time to time. We will post the updated version at this URL and revise the “Last updated” date above. Continued use of the App after changes means you accept the updated policy.
